What this is
What you can do inside a shared room, and how a room ends. The team that opened the room is the host; the other organisation or the invited guests are the other side.
In short
- Host: Close room or Not going ahead closes the room, Reopen opens it again. - Other side: Leave room leaves it (an organisation leaving closes it for both sides). Track in my Pipeline adds it to your own deals. - In investor and lender rooms, either side can Move stage once the NDA is signed.
Who this is for
Anyone in a shared room. Viewers can read the room but cannot act in it.
Inside the room
- Next step : a shared next step and due date, plus what each side still owes. - Data room : the host turns sharing on or off for folders and single files, and adds new files through the deal's Documents ( Add files in Documents ). The other side opens what is shared. With downloads off, files open in the browser only. - Requests : documents each side asked the other for. Type what you need and click Request . The host can link a request to a checklist item so it ticks itself when the other side uploads. The other side clicks Upload ; the host clicks Fulfil to answer with a deal file. - Q&A : the other side asks with Ask , the host answers with Answer . Answers stay in the room for both sides. - Conversation : messages between the two sides only. - Who opened what : the host sees every view and download by the other side and can Export log . The other side sees its own list. - People in this room (guest rooms): the host can Invite more people or remove access.
Room stages for investors and lenders
NDA , Data room , Q&A , Indicative terms , Due diligence , then Closed, deal done or not going ahead.
Steps: close or reopen a room (host)
1. Open the room and click Not going ahead (investor and lender rooms, a reason is required) or Close room (other rooms, reason optional), then confirm with Close room . 2. Open requests are cancelled, files stop opening and the history stays. The other side is told. 3. To undo it, click Reopen . A room on an archived deal cannot be reopened.
Room settings (host) change the end date, watermark, downloads, role, ticket, and the NDA while nobody has signed.
Steps: leave a room (other side)
1. Open the room and click Leave room . 2. Optionally give the host a reason, then confirm Leave room .
When an organisation leaves, the room closes for both sides. When an invited person leaves, only their access ends; the room closes when no invited person is left. The host is told who left. The host cannot leave, only close.
Track a room in your own Pipeline
If another organisation opened a room with you, click Track in my Pipeline . A deal linked to the room is added to your Pipeline for your own checklist, documents and decisions.
Financiers overview
On the host's deal, the Shared rooms tab starts with Financiers on this project : one row per investor or lender room with its stage, NDA, files, requests and next step, plus the tickets proposed in the rooms against the deal's capex.
